Paul,
I did come a long way learning Bibilioscape. Here are the list of issues that I would appreciate your help.
Issue 1:
Tertiary Authors are delimited by , which is automatically put by bibilioscape. How can I get rid of it? I used attachment field to store the tertiary authors to work around this problem. It works. But when I create the output I want the authors to be delimited by period and it does not let me do it.Also another requirement is that when I import this field, the = should be replaced by spaces. when I go to Replace and remove tab, it does not give me tertiary authors. It appears that only one field is there for all authors, tertiary authors and quartary authors (authors). I still tried with authors field but replace and remove does not work right with tertiary authors( it doesnt replace but adds , before the =) but it works fine when i use the attachment field.
Issue 2:
When data is imported into keyword field, the data is getting truncated. It is not happening when I use the Misc field. I like to use keyword field so that I can make use of the delimiter in the output. Otherwise whatever in the Misc field will be considered as 1 piece of information.
Issue 3:
When you create output style, for authors fields , there are tabs for seperators etc, how can those tabs be available for other fields as well. For eg: there might be other fields that needs a delimiter. One example is that as a workaround I used Attachment field for Tertiary authors and hence I need to print it with . as delimiter. I am not able to do so.
Issue 4:
Merging duplicate records by keeping one as the main is a requirement. When could that be implemented?
Issue 5:
Is there a way to use a intermediatory file when creating output ? For example the requirement is for JN tag, instead of Journal name, the users need Journal abbreviation. Currently in procite, it is being doing using a file that has a mapping of Journal name to Journal abbreviation and the output prints the corresponding Journal abbreviation instead of Journal names for the tag JN. Can this be done in Bibilioscape?
Issue 6:
When I was creating Output style, there was random unpredictive behavior For eg:Needed different tags for same data field tertiary authors But it was overwriting the previous one with the one that was getting edited. If the tags were MY and DX, both would become the same when I edit the second one. I deleted the existing output style and created a new one . The problem didnt occur. But I have this unpredictive behavior a couple of times and I'm not sure why. I havent played around with it again to figure what causes it. If I find, I can surely send you the style.
Issue 7:
I need to have Date modified in Year Month day format. As Date modified takes the windows control setting format, is there a workaround? For eg: If I use a different date field , can I get the value of Date modified in it?
Appreciate your help. Please let me know if any of these issues are not clear.
Thank you
Beena
Issue 1: If you want to
Issue 1: If you want to store author names, it should be in an authors field instead of attachment field. I don't understand what you mean by "Tertiary Authors are delimited by , which is automatically put by bibilioscape". Could you give an example? Thanks. In replace window, tertiary author field is called "Series Editor".
Issue 2: Keywords field is of memo type same as the Misc field. Please email me a sample import file and let me know which import filter was used. I will check it out. Thanks.
Issue 3: There are 4 authors fields. Author names should be put into an authors field. Different fields are designed for storing different type of data.
Issue 4: Merging duplicate can be more complicated. Please let us know your needs in detail. There is no implementation date.
Issue 5: If you go to "Tools | Styles | Journal Name Editor", you can enter full and abbreviated journal names.
Issue 6: I cannot be sure without getting the style. It is possible the style becomes corrupted during editing. If you can reproduce the problem, please let us know. We can fix the bug. Thanks.
Issue 7: You can change Windows date format by go to the Windows control panel.
Issues
Issue 1:
I figured out whats going on with this field. What we store in this field is the authors name and its dept name. For eg:
Sperling, JW = Ortho - Rochester ( This means that Sperling, JW works in Ortho dept of Rochester). But maybe Bibilioscape believe it to be another name and adding the comma as shown below.
Sperling, JW Ortho - Rochester,; Schleck, CD Bios - Rochester,; Harmsen, WS Bios - Rochester,; Cofield, RH Ortho - Rochester,
The import file would have = sign before the dept so what I need is replace the = with a space which I could do sucessfully with the series editor. and also ignore the dept details so bibilioscape wouldnt consider it as a name and append the comma. How can I make Bibilioscape ignore the dept?
Issue 2: will send you the files soon
Issue 3: Ok.
Issue 4: Will send you the details of the requirement
Issue 5: The requirement is to create 2 output styles: In one , I need to print the full name of the journal and in the other one, I need the abbreviation. If you use Tools | Styles | Journal Name Editor, wouldnt it print the abbreviation if it exists and else print the full name?
Issue 6: If it happens again, I will let you know. For now, its working fine.
Issue 7: User do not want to change the Windows format to get the output style desired. Is there any other workaround for this?
Thank you for your help.
1. In version 7, if you want
1. In version 7, if you want to display the department info in formatted authors, you can use author role <...>. If you don't want to show it, use author comment. Detailed information can be found at http://support.biblioscape.com/node/408
5. If you chose to use full journal name, it will check in the lookup table, if nothing found, it will use the current data in database. Same if you chose to use abbreviation, if not found, it will use whatever in the database now.
7. It is not possible in current release, we may be able to add this later.
Thanks,
Paul
Journal name
Thank you for your answers.
I guess my question is how do I chose whether to use Journal full name or abbreviation for a particular output style?
I will be soon sending you the merging requirements. Please ask me if you have any questions on it.
Issue 7: Please implement the modified date formatting feature in the next release. Can you please give me a approximate timeline?
Thank you for your help

Sorry, I don't have a
Sorry, I don't have a timeline. But I think it can be added in 7.x because it doesn't seem to involve any format change.
Journal name abbreviations
Thank you for helping me with most of my doubts/questions.
Please help me with the below questions and I believe I would be all set then.
1. I am still wondering how to chose journal name or abbreviations for different output styles. If I go to Tools/styles/journal editor, it only lets you enter the journal name /abbreviations and as it is. But how can I configure the output style so that I can decide whether to use journal name or abbreviations.
2. Users like to have a workarea wherein they can verify the data collected, modify etc and then submit to the main repository. To do this what would be the best way? Create a different folder called workarea or something and once reviewed move to a different folder called "production". Please let me know if you have any suggestions on this.
3. I understand for the field Mayo Authors, to ignore the dept field it should be in brackets. As I said , the import file has the data followed by = for eg:
author name =neuro, rochester
if this is the case, can bibiloscape replace the = with brackets(). If so, how can it be done?
4. Could you go through merging requirements that I sent you. Is it clear? Do you need any more clarifications?
5. It would be extremely helpful if you can implement the modified date formating functionality so that there is no need to go to windows control panel for the user to change the modifed date format.
Appreciate your feedback. By the way , congratulations on your 7.x release. I am soo excited to use your production version!!
Thank you again
Beena
1. When you edit a style,
1. When you edit a style, you can double click the Journal entry, there is an option to chose full name or abbreviated name. Biblioscape will do a lookup based on the journal name entered.
2. You can ask all users to enter new references in a folder called "needs review". Then the reviewer can empty that folder by moving references to appropriate folders. In version 7, an indivisual user can keep his/her set of categories and tag references. There can also a set of public tags controlled by the reviewers. So each person can organize things differently while the organization can keep a common structure. http://support.biblioscape.com/node/696
3. You can do this by go to the "Replace or Remove" tab in import filter editor.
4. I cannot open the vsd file. The requirements are very complicated. If Biblioscape support scripting, this could be a good case for the user of scripting.
5. The date modified improvement will come later in 7.x or 8.
Thanks,
Paul
Help with some of these
I think I can help with a couple of these questions.
1. Selecting the field "Journal" in the bibliography section of the output style and clicking on Edit allows you to set whether the output style should use the full or abbreviated journal title. If you want to use one option in some papers and the other in others, you'll have to copy the output style and change the behaviour in the copy. Perhaps I misunderstand what you mean, but I don't think it's possible to let Biblioscape prompt you whether to use full or abbreviated journal titles.
2. Yes, that's exactly what I do. Folders in Biblioscape 7 are a good option for this because they're exclusive. Something in your "Import" or "Unedited" folder won't slip into other folders, and you can then move references to other folders once you've checked and edited them.

Please help!!
I believe you might be quite busy these days. Can you please help me with the above list of questions as quickly as possible?
Thank you!! Appreciate your help and time!!!
