Using categories

Categories is used as a tagging tool in Biblioscape. Although folders is the primary organizing tool in Biblioscape, categories is more flexible. Since a record can only exist in one folder, folders is best used to divide your records into big domains. There is no such limitation for categories. You can use categories to organize your records in many dimensions. The same record can be tagged by many categories. Click here to see a detailed comparison between folders and categories. All the basic features in categories module can be accessed from the categories pane on the right of each module. To ogranize your records by categories, you don't need the categories module. The categories pane on the right is all what you need to create, delete, edit, search, organize categories and tag records in other modules.

Create a category

Go to the categories pane by clicking on the Categories tab on the right. Click the right mouse button and select "New Category". Start typing to enter the category name, and press the Enter key once you are finished.

To create a child category, first select the category where the new child category will be created under. Click the right mouse button and select "New Child Category".

Delete a category

On the categories pane, select the category you want to delete, then click the right mouse button and select "Delete Category". You will be prompted "Do you want to remove the deleted category from all the records that are tagged with it?". If you click Yes, this category will be removed from all the records that have been tagged with it. If you click No, only the category itself will be put into the Recycle bin, while it will still remain as a tag in all those records. You can delete more than one category at once by selecting multiple categories first.

Rename a category

To rename an existing category, select the category you want to rename, and click the category again. The selected category’s name will be changed into edit mode; you can then type in the new name and press the Enter key.

Move category left

You can select a category item and drag it around, but it is not possible to move it to the root level in this way. To do this, click the right mouse button and select 'Move Folder Left".

Set category color

You can assign a color to the select category by clicking the right mouse button and select "Color". A sub-menu will appear. You can then chose a color from the list.

Once you have assigned a color to a category, all the records that have been tagged with this category will be shown in this color in the colored category column.

Expand and collapse the categories tree

You can expand a categories tree by clicking on the "+" button, or by pressing the right arrow key. You can collapse a categories tree by clicking on the "-" button, or by pressing the left arrow key. To expland all the sub-trees, click the right mouse button and select "Expand All". To collapse all the sub-trees, click the right mouse button and select "Collapse All".

Search tagged records

  • Single selection: When you click on a category item, all records that have been tagged with this category will be automatically retrieved.
  • Multiple selection with OR: When you hold down the Ctrl key and select more than one categories, Biblioscape will retrieve all records that are tagged with each selected category. In other words, the "OR" operator is applied between each selection.
  • Multiple selection with AND: When you hold down the Alt key first, then hold down the Ctrl key, and select more than one categories, Biblioscape will retrieve only those records are tagged by all selected categories. In other words, the "AND" operator is applied between each selection.

BS 7.21 (again) is re-arranging categories

I'm still/again experiencing troubles with arranging categories:
1. Moving a category in the panel on the right in the folder view (ctrl-alt-f) is reflected in the reference module (ctrl-alt-r) but not in the notes module (ctrl-alt-n); likewise, moving a category in the notes module is not reflected in the other modules. (However, creating a new category is reflected in all modules).
2. Sorting categories in the panel on the right: Mouse click on the title bar does sort them alphabetically, which is correct (and useful); to my knowledge ctrl-click on the title bar should sort them in the order they were created or arranged later on; while this is true for the main categories, BS is re-arranging my sub-categories (mostly, but not always, the opposite way I entered them: first sub category has gone to the bottom etc.). To regain my order I have to manually move the categories again. The same occurs when I close and restart BS. I experienced this behavior in earlier versions but think it didn't happen in 7.19 and 7.20.
3. Sorting categories within an open reference: While sorting alphabetically works fine, sorting by ctrl-click results in a completely wrong order of sub AND MAIN categories which deviates not only from the one I created but also the one shown in the module's panel.
4. Is this only a problem of the Standard edition or does it also occur when categories are centrally managed in the categories module of the Pro edition?

I'd really appreciate if categories were more stable and reliable, as I don't like doing the same work again and again. Thanks, Lars.

1. Categories changes are

1. Categories changes are not refreshed when the user goes to another module. This problem will be fixed in 7.22 release. Thanks.

2. I cannot reproduce this. It is possible this problem is caused by some categories entered before 7.19 release. Please see if you can reproduce it with newly created categories. You can zip all the files under your database folder and email me the zip. Please also let me know the steps to reproduce the bug.

3. The categories sorting in record editor window is different from the records list window. This problem will be fixed in 7.22 release. Thanks.

4. The above problems happen in all editions. The problems will be fixed in 7.22 release this weekend.

re 2. Most of the problems indeed seem to disappear with categories created in BS 7.21. However, newly created categories are still being moved upwards the list; I've sent the zipped database and a PDF with screenshots to support@biblioscape.com.

This does not work for me in 7.20. It seems like Alt+Ctrl+mouse click still activates "OR" and not "AND"

boolean selections

It seems to me that in 7.21 Ctrl is used for “AND” and Alt+Ctrl is used for “OR” which is not what the above instructions say. Also, the entry in the left bottom corner does not reflect the search conditions correctly when a Boolean operation is used. It would be good to be able to see what exactly is selected for display with which conditions there or elsewhere.

With Ctrl key pressed, records tagged with category A OR B are both displayed. With Alt+Ctrl pressed, only records tagged with category A AND B are displayed. My original statement may be confusing. Please give a suggestion that is more understandable. Thanks. In 7.22 release, the search condition will be shown on the statusbar when two categories are selected. Thanks.
